AI agent vs chatbot: how they differ (and which one you need)

"I want a chatbot"… you almost always need something else

"I want a chatbot for my website." It's the request we get most. And almost always what the person needs isn't a chatbot: it's an agent. The problem is they're used as synonyms and they're not —and confusing them is costly—.

The difference in one sentence: a chatbot responds with predefined scripts; an AI agent perceives, decides and executes actions to meet a goal. The chatbot answers questions; the agent does the work —filters, schedules, attends, follows up—. It's not about the name: it's how much judgment of its own it has and how much real work it takes off your plate.

When a chatbot is enough… and when you need an agent

Choosing between a chatbot and an AI agent by your goal

Not everything needs an agent. A chatbot is fine if your goal is simple and closed: answer an FAQ, give an opening time, hand off to a human. Cheap, fast, enough.

You need an agent when the goal is to do, not just respond: qualify leads that arrive with messy info, handle real conversations that don't follow a script, schedule, follow up, decide who to pass to a person. If what you want is to take work off your plate —not just answer faster—, it's an agent.

The chatbot that's enough: a website with a bot that answers "what are your hours?", "do you ship?" and, if things get complicated, hands off to WhatsApp. It does the job, and that's all you need.

The real difference isn't the AI: it's how it's trained

Here's the point almost nobody sees: an agent isn't distinguished from a chatbot by "having more AI". It's distinguished by how much it understands YOUR business. Is an AI agent just a more advanced chatbot? Not exactly. A chatbot follows scripts; an agent decides and executes actions. The difference isn't of degree, it's of kind: one responds, the other does.

Can I start with a chatbot and move to an agent? Yes, and many do. But if your goal from the start is to take work off your plate (not just answer), it's better to go straight to the agent.

Is an agent much more expensive? Not always. It depends on what it has to do. An agent that solves a process that eats your hours today usually pays for itself.
