AI consultant: what it is, what it does and when to hire one

You learned to use ChatGPT and your business is the same

It happens more and more: a business owner gets serious about AI, learns to use ChatGPT, builds a few prompts, even tries a couple of tools… and three months later the business is the same. The same bottlenecks, the same team firefighting, the same sales. Why? Because using AI isn't the same as applying AI to your business. And that's where an AI consultant comes in.
An AI consultant isn't someone who teaches you to use ChatGPT —anyone learns that in an afternoon—. A real AI consultant understands your business fully and applies artificial intelligence where it raises your profitability: where to automate, which agents to build, which processes to free up. The difference isn't knowing about AI, it's knowing where and how to apply it to your company in particular.
Using AI is not applying AI to your business
Today anyone can open an AI tool and use it. What not everyone can do is put the right logic in: understand how a company attracts, sells and decides, and translate that into systems that work for it. The AI is the engine; the business intelligence is what makes it profitable. Without that, it's one more tool nobody fully takes advantage of.
That's why the problem is almost never «which tool do I use». The problem is «where, in my business, does AI free up time or raise revenue». Answering that well is 90% of the work —and it's exactly what doesn't come in any tutorial—.
How it differs from a generic agency
Here's the most common confusion. A typical agency sells you campaigns or standalone tools; an AI consultant gets into the business, understands how everything works and builds tailored solutions connected to your real operation. Look at the difference:
| Generic agency | AI consultant |
|---|---|
| Sells you a standalone service (campaign, website, "a bot") | Starts from your business, not from a product |
| "Adds AI" because it is trendy | Applies AI only where it raises profitability |
| Standard solution with your logo | Tailored systems connected to your operation |
| Delivers and leaves | Understands, builds and iterates with you |
It's not «adding AI because it's trendy»: it's applying it where it truly frees up time and raises revenue —and telling you honestly when it isn't needed—.
The signs your business already needs one
You don't have to be a big company. The signs are fairly clear: your team spends hours on repetitive tasks; leads are lost for lack of follow-up; you grow and the operation strains instead of flowing; you feel you could bill more with the same, but you don't know where to start. If two or three of these ring true, you don't need more people or more hours: you need to apply AI in the right place.

Two examples (and what they save)

The simple one: a company losing time answering the same inquiries over and over. A consultant didn't «add an AI»: they found the process eating the most hours and built an agent that resolves it on its own. Result: the team got back around 40 hours a month (over €600) to spend on selling.
The ambitious one: a fast-growing company where the operation was getting stuck. The consultant mapped the whole journey —capture, qualification, follow-up, support— and applied AI at each bottleneck: agents that qualify and book, automatic follow-up, a CRM that measures from campaign to sale. The result wasn't «loose hours» but a business that scales without adding chaos, with over 100 hours a month freed and decisions made on data, not gut feel.
How we work (and where to start)

Order matters as much as the AI. First we get inside your business's inner workings —who does what, how decisions are made, where time is lost—, we analyze and debate it with you, and only then we define what to apply. Then we build and iterate: the first months are key to fine-tune each system until it works on its own. Understand to then apply, not apply to then understand.
If any of the signs above ring true, the first step isn't «add AI», it's a diagnosis. In an AI consulting session we look at your business and tell you where AI moves the needle —and where it doesn't—. And if you want to understand the pieces, start with what an AI agent is.
Frequently asked questions
Does an AI consultant teach me to use ChatGPT? No. You learn that on your own. A consultant applies AI to your business: identifies where it raises profitability and builds the systems to achieve it.
Do I need to be a big company? No. The smaller the team, the more noticeable freeing up repetitive work is. The signs (repeated tasks, lost leads, strained operation) apply at any size.
How is it different from hiring an agency? An agency usually sells you a standalone service; an AI consultant starts from your business and builds tailored, connected to your operation. It's not «adding AI», it's applying it where it pays off.
Will they want to automate everything? No. A good consultant also tells you where NOT to apply AI. The goal is profitability, not adding technology for the trend.
Where does the work start? With a diagnosis: understanding your business before proposing anything. That step is what makes what's built afterward actually work.
